Challenge

IIA relied on a legacy FoxPro system that stored thousands of inspection records and reports but had become difficult to maintain, scale, or secure.

Field inspectors submitted Excel and PDF reports in varying formats, which one staff member manually interpreted and retyped line by line into the system, a slow, error-prone process.

They also needed a faster way to compile client inspection report books—monthly, quarterly, or annual summaries that required merging multiple reports by hand.

The goal was clear: replace the legacy FoxPro system with a modern web-based application and use AI automation and intelligent document processing to eliminate manual data entry and speed up report generation.

Designing the Solution

Ticomix partnered with IIA to design a new, integrated platform that would modernize legacy operations and leverage artificial intelligence for smarter data processing.

Key design priorities included:

  • Automated document intake: Replace manual data entry with an AI-powered tool that can extract key information from Excel and PDF inspection reports.
  • Centralized inspection database: Build a secure, modern application to store inspection data and related files.
  • Streamlined report generation: Automate the process of creating detailed inspection “books” that compile multiple reports into a single, client-ready document.
  • Flexible architecture: Enable quick adoption of future technologies without disrupting daily workflows.

Developing the Solution

The new application was built in ASP.NET and Microsoft SQL Server, designed for long-term reliability and scalability.

  • Intelligent Document Processing: Ticomix used Microsoft Azure AI Document Intelligence to extract data from PDFs and Excel sheets automatically. The AI model was trained to recognize key fields and formats across various inspection forms. Now, when users upload a file, the system instantly reads and categorizes the data, cutting manual entry time from hours to seconds.
  • Report Book Automation: The new reporting module allows users to select a client, set a date range, and generate a complete inspection report book — combining multiple individual reports into one formatted PDF with a single click. Reports that once took hours to compile can now be produced in minutes.
  • User-Friendly Interface: The new web application provides intuitive access to inspection data, reports, and divisions across multiple locations. Administrators can review processed data, correct entries when necessary, and finalize report books before distribution.
