Challenge
Caliber’s job tracking platform allowed users to enter new jobs, tie services to specific engineers, select equipment and customers, and convert completed jobs into invoices. However, the platform lacked a way to import large volumes of historical job and invoice data.
Without historical records in the system, any reporting and data analysis would be incomplete. The client needed a way to upload large datasets of past job information and treat that data with the same integrity as newly entered records.
Designing the Solution
Ticomix was brought in to create a streamlined method to quickly and accurately import large batches of historical invoice data.
Key design goals included:
- CSV upload functionality: Allow users to upload structured files containing thousands of rows of historical invoice data.
- Automated data mapping: Convert uploaded data into structured entries that match the database format.
- User feedback and progress tracking: Provide real-time feedback as data is processed, including upload progress and completion status.
- Error handling and transparency: Display which records were successfully imported and flag those that had missing or corrupt data for easy review.
Developing the Solution
The Ticomix team built an intuitive import tool directly into Caliber’s application, giving users a simple and efficient way to upload historical records.
- CSV Upload Tool: Users can select and upload a CSV file with invoice data using a clearly labeled interface.
- Progress Indicators: The system provides real-time updates during the upload process. For example, 2,500 rows process in about 45 seconds.
- Validation and Reporting: Once the upload is complete, users receive a summary that shows how many records were successfully imported, and which entries failed validation.
- Detailed Feedback: The tool provides specific validation messages to help users correct un-mappable or corrupt data quickly.
